As you begin integrating into MentoCal, here is a great starting checklist to make sure your calendars are set up correctly so members see exactly the availability you want them to have.
Update availability. You can set availability per day which will repeat every week.
Select the “+” to add a second block within a day or the copy button to copy those hours to other days.

How to set up an Out Of Office / Vacation Time

We now have a fully functioning OOO/Vacation feature! 🎉Â
Underneath the regular availability, create a new OOO time block.
You can set start and end time which could be one window within a day, or select “all day” to block a full day or multiple days.
Upon confirmation it will show you any members that have sessions during your OOO. Please reach out to those members to reschedule those sessions
Alternative method: You can also use the previous method of simply blocking the days as out of office in your Mento Google Calendar and that will show those dates as unavailable.
Note Conflicts: As with all bi-weekly series, MentoCal can only cross check the first 2 sessions in a series. This means if you set a Vacation/OOO for a few weeks out, it will not check for future conflicts. You may have to reschedule sessions with a member directly that fall over your OOO time.

How to reschedule a Single Session or Bi-Weekly Series
Amazing new features with MentoCal:
Coaches can now move sessions directly in Google Calendar and they will sync into our system! 🎉
You can now reschedule an entire Bi-Weekly Series all at once!
Coordinate and agree on a new session time with your member. The member can either rebook it themselves or you can book it on their behalf.
In your Mento Google Calendar, just move the calendar block to the new date/time. It will sync in the Mento app.
Google Calendar will ask you if you want to edit “This event” or “All events”. If you select “All Events” it will book the entire bi-weekly series to the new time/cadence.
Option 2: Update inside the Mento platform
Coordinate and agree on a new session time with your member
In list view, select the 3 dot button.
In week or month view, just click the session to see the session info
Click “reschedule” or the pencil icon, which will open a side panel.
Select a new date and time.
To reschedule the series select the checkbox to “Apply to all future sessions in this series.”

How to Cancel a session or a full bi-weekly series
Please discuss cancellations with a member before updating any sessions. Remember you can now reschedule a full series above, so if you are cancelling the series, be sure to alert Mento at Coachsupport@mento.co if there are extenuating circumstances with the member.

Click “Cancel” or the trash icon, which will open a side panel.
Simply click “Save” and the session will be cancelled.
To cancel the series select the checkbox to “Apply to all future sessions in this series” at the top.
Cancelling In your Mento Google Calendar
Simply delete the calendar block.
It will ask you if you want the cancelation to apply to this session or the entire series updated.

Makeup Sessions with a member
The best way to facilitate a makeup session is to simply reschedule the original session for the new desired time. This feature will be available right up to the time of the session.
If you are not able to reschedule the original session, and wish to provide the member with a one-off makeup session, you will need to coordinate with the coaching team by emailing coachsupport@mento.co.

End of Engagement with Member

Feature Update: With the new MentoCal, you will now only see sessions up to a member's end date!
Ending on End Date: When a member's end date has arrived, if End Date = Confirmed, then sessions will end on the scheduled date, and we will remove the member from your profile after your sessions conclude. If you finish your engagement early, please let us know!
Member Early Departure: If you learn that a member has left their employer or is no longer in coaching prior to their end date, please email us at Coachsupport@mento.co to let us know and we will remove them and their sessions from your profile. Coaches often learn of member exits long before Mento does, so please do let us know!
Other Common Calendar Questions

Rejecting a GCal proposed new time for a session
What this means:
A member is no longer able to edit a session directly in Google Calendar. The event description will redirect them to reschedule the session directly in the Mento App. One workaround we have been unable to disable is that a member can simply “Propose a New Time” in Google calendar. Since this does not actually reference your availability, we do not want to allow members to use this method to reschedule.
When a member wants to reschedule, it needs to happen via the links in the calendar event description.
If a member sends a “Propose a New Time” request via Google Calendar, you can simply reject it and redirect them to the website to reschedule.
To reject it, simple click the x in the box that says “Member has proposed a new time.”
If you and your member have discussed the update and you are OK with the proposed time, you can accept the new time and it will automatically sync back into Mento.

Can I schedule a session outside my set availability hours?
Yes, with an override. If you reschedule in the platform, you'll get a warning ("this is outside your set availability" or "this conflicts with a calendar") but you can proceed anyway — your availability settings won't lock you out of exceptions.
If you’re moving a block in Google Calendar, just drop it in the time slot you want and it will be rescheduled in the platform.

If I can't access my calendar, can ops reschedule for me?
Yes, of course. We are here to help! Just message coachsupport@mento.co with the member, date, and any other appropriate details. We’ll schedule, reschedule, cancel, or fix any problems with calendar you might have.
Transcripts

How do I turn off transcriptions for a member?
Go to that member’s event in Mento Google calendar.
Click the pencil icon to edit the event
Click Manage Settings or the gear icon
Select “Meeting Records” tab and unselect transcriptions and notes.
Click save.
You should be prompted to click Save for all sessions in this series.

How do I disable transcripts in a session
As you enter the Google Meet by clicking “Gemini will take notes”
Click Stop on notes and transcribing

How can I Manually add a transcript to a session?
In your Google Calendar, select the session you want to update.
Click the pencil to edit the session.
In the Notes section, click the Google Drive triangle logo
Select the transcript/document you want to attach to this session.
Click Insert and then Save.
Note: Moments reloads about every 2 hours, so please be patient. You can then try regenerating a summary and reflection by using the chat to the right of the artifact.
You can write something like
Please check the added documents for the full session transcript and regenerate this artifact

I started and stopped a session / transcript, now there are two transcripts. How do I consolidate those two?
