    Where do I find my member booking page?

    You can find your member booking page in your Cal.com profile. Click the three dots in the bottom-left corner and select “View Booking Page.”

    This will give you a link to your personal booking page, which you can use to book on behalf of your member or share directly with them.

    How to Reschedule or Cancel Sessions

    We often get questions about how to update calendar sessions for you or your members. Here’s a quick guide you can reference anytime a single session or a full series needs to be rescheduled or canceled.

    • Reschedule an entire biweekly series: Cancel the full series in Cal.com or on your Mento Dashboard under the Recurring section, then use your own vanity link to rebook it at the new desired time and date. Be sure to enter the member’s name and email so it follows the same flow as if they booked it themselves.
      • Cancel full original series in Cal.com or on Mento dashboard - app.mento.co/coach
      • Book a NEW series in your vanity link (cal.mento.co/your-name) and use the members Name and Email in the booking link.

    • Reschedule one meeting in a series: Open that session in your Mento Calendar and select Reschedule — the rest of the series remains unchanged.

    • Cancel a single meeting in a series: Open the session in Google Calendar and select Cancel session — this won’t affect other meetings.

    • Reschedule a one-time meeting outside regular hours: Temporarily adjust your Cal.com → Availability for that date/time, reschedule the session into the desired slot, then restore your usual availability.

    How to set different availability for Chemistry Calls vs. Bi-Weekly Coaching in Cal.com

    Can I assign different availability schedules to different event types?

    Yes! Cal.com allows you to create separate calendars with unique availability settings and assign them to specific event types.

    How do I set this up?

    1. Create a new calendar for Chemistry Calls

    1. Go to Availability in Cal.com.
    2. Click the + icon to create a new calendar.
    3. Name it to reflect the event you want it linked to, like “Chemistry Calls”.
    4. Set the specific hours you want to offer for Chemistry Calls.

    2. Link the new calendar to the Chemistry Calls event type

    1. Navigate to Event Types.
    2. Select your Chemistry Calls event.
    3. Go to the Availability tab.
    4. In the dropdown, switch the event from your regular Working Hours calendar to the new Chemistry Calls calendar.
      • This tells Cal.com to use your Chemistry Call hours for this event type instead of your general schedule.

    3. Verify everything is working

    Visit your vanity link (cal.mento.com/your-name) to confirm your updated availability is displaying correctly to clients.

    How do I book a single session with a member outside my regular set hours?

    Answer:

    To book a one-off session outside your usual availability, do not use the Date Override feature, which doesn’t reliably update your bookable hours. Instead, follow this workaround:

    1. Temporarily expand your regular availability to include the specific time you want to offer. You can do this is the Availability section of Cal.com.
    2. Book or reschedule the member’s session during that newly opened window.
    3. Reset your availability in Cal.com back to your normal hours once the session is confirmed.

    Because Date Override can be inconsistent, we also recommend blocking holidays directly in your Mento calendar rather than relying on Date Override for those adjustments.

    Contract Length Vs. # of Sessions Scheduled in Cal

    “My member has X sessions remaining, but their contract length is Y. What does that mean?”

    Great question — this comes up often, and the answer has to do with how our scheduling system manages recurring sessions behind the scenes.

    How the Scheduling System Works

    When a member first books their bi-weekly sessions, our system automatically creates 20 sessions on their calendar. This happens regardless of the length of their contract.

    As the member continues meeting with you and their remaining sessions drop to 4, the system automatically adds another block of 20 sessions. This ensures continuity so neither you nor the member has to repeatedly request manual extensions.

    Because of this, the number of sessions you see scheduled is not an indicator of the member’s contract length.

    Why the Calendar Doesn’t Match the Contract

    We stay in regular communication with each member’s employer to encourage contract renewals or extensions. However, companies often confirm these decisions only about 30 days before the contract end date.

    Once we receive confirmation of a contract ending, we will:

    1. Add an internal note to the member’s profile with the confirmed end date.
    2. Notify the member of their final session.
    3. Delete any remaining future sessions after the final session occurs, so they do not extend past the contract term.

    This means you may see far more scheduled sessions than the member is actually contracted for — which is expected and intentional.

    What You Should Know

    • Seeing 20+ sessions added on the calendar does not mean a member’s contract has been extended.
    • System-generated sessions are simply placeholders to support long-term scheduling.
    • You will always be notified in advance (usually 1–3 sessions) when a member’s contract is confirmed to be ending.
