    Moments Coach FAQs

    First of all, welcome!

    Moments is a tool to make coaching more effective. Members and coaches can use our coaching-specific AI to generate summaries, reflections, and more. Creating more impactful coaching moments during and between sessions.

    So what can I do with Moments?

    We designed Moments to take Mento’s proprietary training and feed it into AI technology. This allows you to save time in admin work between sessions and look at transcripts from your coaching sessions and get insights, coaching summaries, and feedback you won’t find anywhere else.

    By using your session transcriptions, you can:

    • Prepare more efficiently for upcoming sessions by generating coaching-specific prep docs that recaps last session’s topics and action items
    • Be more present in your sessions knowing Moments is listening for patterns and capturing next steps and challenges to follow up on
    • Summarize past sessions to get a reflection on your coaching approach, clarify next steps, and surface patterns across sessions. You get a chance to pause, reflect, and see what stood out—without rewatching the whole thing
    • Capture clear progress and goal progression that would otherwise require hours of manual reviewing of notes
    • Uncover the arc of the entire coaching relationship by identifying patterns, themes, and insights across multiple transcripts

    With Moments, your time and energy can be focused on your clients and free up more of it for new members.

    How does Moments help me as a coach?

    Moments is designed to support you by:

    • Saving time: Coaching summaries and arcs reduce your pre & post-session administrative work. (No more “What did we talk about last time?)
    • Improving session quality: Preparation notes ensure you're best prepared with context, follow-up, and questions for the upcoming session in just a matter of minutes. (“What do you want to talk about this week?” easily becomes “Here’s where we left off.”)
    • Enhancing skills: Get customized & objective feedback on your coaching style and techniques to help you grow professionally and refine your craft. (Actually get an answer to “was that a good session?”)
    • Connecting The Dots: See patterns, tends, insights, and wins across multiple sessions to see the highlights and details of an entire coaching journey, or even part. (”How is our coaching journey progressing?”)

    What do I do with a summary?

    The intention is for the summaries to help you save time in preparing for your next session and reflect on the session with objective coaching feedback.

    Sample use cases:

    1. Review it for accuracy and completeness.
    2. Edit the summary and add your own notes or use the chat functionality next to the document and ask it to shorten, edit, or add sections.
    3. Share it with your member either by copying and pasting the document or using the share button *(functionality coming soon after launch)

    Ready to get started?

    Important! You must transcribe coaching sessions in order to use Moments.

    Step 1: Login here: https://moments.mento.co/

    Step 2: Click “Continue with Google”

    • Be sure your browser is logged in to your Mento GSuite or select your Mento email when prompted

    Step 3: Choose your Mento email.

    Step 4: Click Allow. This gives Moments access to your Google Drive and contacts so we can see your transcripts and members.

    Step 5: You’re in! Select a member to start summarizing their transcript(s) and getting insights.

    Note: if you don’t see any members or transcripts, it may be because you’re not currently transcribing sessions.

    How do I turn on transcriptions?

    Before a Session
    Before a Session In your Google Calendar, open a calendar event that’s a part of a series– like a singular coaching session. Under Gemini, you can “Turn on Gemini meeting notes” for the entire series. Select that and it will automatically record each session.
    As you’re joining a Session
    As you’re joining a Session When joining your coaching session via Google Meet, you’ll see an option to “use Gemini to take notes”. Select “start”. After you select “start,” you’ll see a pop-up that will give you the option to transcribe the meeting. It’s checked by default. Select confirm if you also want a transcription of the coaching session.
    You can also change who gets emailed the transcript after the session by changing “Send notes to” and select HOST instead of INVITED GUESTS in the following pop up.

    During a Session
    During a Session To activate recording manually during a session, click the 3-dot button next to the “end call” red phone button. Select “manage recording” then, in the pop-up window on the right-hand side, scroll down and select “Start Recording.” If you forgot to set up the note-taking/transcription, you also have the option to start a transcription or take notes with Gemini in the pop-up. Simply check the box next to the options.

    Your transcript will be auto-saved to your Google Drive when the session is over and automatically emailed to you and your member unless you’ve opted out.

    Am I required to record or transcribe?

    Currently it is not required to be a Mento Coach. But to use Moments you have to enable transcriptions at minimum.

    Our near term goal is to have Moments embedded into all sessions, so we highly encourage you to start adopting Moments early to learn and influence the product development.

    There are so many benefits to this product and the feedback from coaches and members so far has been incredibly positive. Ultimately, our goal is to create an experience that makes it easier for you to be your best possible coaching ‘self’. This means: less admin, faster prep time, support in connecting dots across sessions (you are human, too!), and getting more support throughout your coaching journey.

    This will expand to include integration with key context, Pulse Surveys, and much more. It also opens up new possibilities for your members and your member-coach relationship: they, too, can come better prepared for sessions, connect dots across sessions, deepen self awareness, and maintain momentum between sessions.

    Are the recordings, transcripts, and summaries secure and private?

    The security and privacy of all sessions are our top priority. We take confidentiality very seriously and ensure we abide by the ICF Code of Ethics.

    All of our summary data is encrypted and stored securely. The transcriptions are only shared between the coach and the member safely in Google Drive. Transcripts can be shared with members safely via Google Docs. You do have the ability and permission to share summaries with a member. Do get consent first as some members don’t want private session information in their emails.

    Moments is made for coaches. We do plan to roll it out to members after we have tested with our coach community.

    We are working to bring even more security and privacy to the experience by bringing Moments summaries, pre-session prep, and much more directly onto the Mento platform where we have more control and visibility of document sharing.

    For security reasons, recording can only happen using Google Gemini in Google Meet and it is critical you are only using Google Meet for 100% of your sessions.

    Do I need consent from my member to record and transcribe?

    Yes. While it may feel uncomfortable for you to ask your members to record, we’d like to disabuse you of this notion! Today, a near majority of Mento coaches transcribe their coaching sessions with virtually 100% of members opting in. Best practice is to enable transcriptions and video.

    You only need to ask once.

    You can remind your member at the beginning of each session (or once at the beginning of your coaching engagement if you prefer) that you’re recording for your own transcriptions in order to improve your coaching and capture summaries to better prepare. And Gemini transcriptions and recordings are private only between you and them.

    Tara has outlined some scripts you can use to ask for consent:

    1. Chemistry Call or First Touchpoint (Integrated into Set the Frame for Chemistry Calls)

    “Thanks for being here. We’ve got about ___ minutes together. Here’s how I suggest we use our time. First, I’ll hear what brings you to coaching. Then I’ll share a bit about how I work so you understand the structure I use. We’ll do a short, light coaching conversation so you can experience it directly, and we’ll wrap by reflecting on what was most valuable and what next steps could look like.”

    “Before we begin, I want to name a few foundational pieces. Coaching is a confidential space. What you share here stays between us, unless you choose to bring something back to your organization. My role is to create space, listen closely, and ask thoughtful questions. Your role is to bring what feels most important right now.”

    WHAT “One other part of our coaching agreement I want to name. I transcribe our sessions so we can use Mento’s Moments tool.”

    WHY “When sessions are transcribed, Moments can generate session summaries, support prep between sessions, and help us track themes and progress over time. It means you don’t have to take notes, and we can build continuity across our work.”

    WHAT DOES NOT CHANGE “This doesn’t change confidentiality or how coaching works. Everything stays between us, just as it does now.”

    2. First Full Coaching Session

    If consent was given on the chemistry call, do not re-contract.

    “As a reminder, as part of our coaching agreement, I’ll be transcribing our sessions so we can leverage Moments to capture themes and reflections to build on our work together over time. It doesn’t change confidentiality or how our coaching works.”

    3. Existing Coaching Relationship

    (Introduce as a small evolution. This is normal re-contracting of the Co-Created Agreement.)

    “Before we start today, I want to name one small update to our coaching agreement. I’m beginning to transcribe sessions so we can use Mento’s Moments tool.”

    “It provides us with session summaries, better prep, and continuity across our work, without either of us needing to take notes. It doesn’t change confidentiality or how our coaching works.”

    “Do I have your consent to use Moments this way going forward?”

    If your Member has already granted you permission to transcribe sessions. No need to get consented for Moments. You can simply surprise and delight them with insightful summaries.

    How do I share transcripts, recording, and summaries?

    Transcripts and recording can be automatically shared with your member. That happens with Google. Before you join the session, select “START” on Gemini notes and make sure the “Send Notes to” dropdown is selected to INVITED GUESTS (your member) or HOST ONLY (that’s you!).

    However, we encourage you to share your Moments summaries and insights with your members. At launch (Feb 2026), you’re able to push the “Copy” button at the top of a new summary and then paste it into an email. Coming soon there will be a button to share directly and privately with your member!

    What if my Member does not want an email with the meeting Transcript?

    No problem! You can still generate a transcript and turn off the email notification to your Member.

    In a meeting invite you’ve already set up:

    1. Edit the meeting
    2. Click Manage Settings next to the Gemini will take meeting notes section
    3. Update the Take Notes for me sharing default settings - use the drop-down menu to select “The Host and Co-hosts”

    If you’re already in a meeting and need to adjust this:

    1. Click the Gemini is taking notes pencil button on the upper right of the screen
    2. Click Settings
    3. In the Send notes to drop-down menu - change to “The Host and Co-hosts”

    How do I get access to Moments?

    Activate your account and use Moments at https://moments.mento.co

    You can find a link to Moments in every transcript email you get from Mento. And there is a single link on your dashboard in the Mento platform..

    Because Moments uses transcripts as its data, you must have transcripts from a coaching session in your Mento Google Drive; otherwise, it won’t work.

    What do I do if I transcribe sessions but my members aren’t listed?

    1. Try refreshing the page.
    2. If the list continues to be empty or a specific member is not showing up contact coachsupport@mento.co with a screenshot of what you are seeing along with the full name of the member(s).

    What do I do if my transcripts aren’t showing up in Moments?

    1. Refresh the page
    2. If you already transcribe sessions, then you should troubleshoot:
      1. Go to Profile > settings > connections and try disconnecting and re-connecting your Google Drive
    3. If you do not transcribe sessions, then you must enable transcriptions for each session.
    4. If the problem persists, contact coachsupport@mento.co with your member(s) name and a screenshot of the error.

    What if I have old transcripts I want to use in Moments?

    First - remember that as of Jul, 2025, we are only allowed to use Gemini for transcription - so please make sure that is your Transcription tool going forward. You can see more details on the Policy here.

    But if you have old transcripts you want to associate with a Member and use with Moments - watch this video for information how!

    Can I edit the summaries?

    Yes, either directly in the document by clicking the “edit” button at the top or using the chat functionality next to the summary, asking it to add, edit, or delete sections to your liking.

    Versions can be seen after each edit is made. Click the down arrow next to the version number and Title at  top of the summary. That reveals a dropdown of the version history.

    If the summary seems inaccurate or unhelpful, click the 👎 button and share why.

    If the summary is helpful, click the 👍 button.

    Where can I find summaries I already created?

    In the green vertical menu on the left side of the window, there’s a button with a folder icon. Click that to see all previously generated documents.

    How does it work and why is this better than ChatGPT?

    Moments is an Artificial Intelligence (AI) tool. All AI programs base their responses and actions from a set of information called “context.”

    We’ve trained Moments in the same material that all Mento coaches are taught. This proprietary information is the context for Moments. So when you ask for a session summary or a coaching reflections, it knows exactly how to do that based on Tara’s coach training content and Mento’s approach to coaching.

    Furthermore, by adding each session’s transcript as a context, Moments knows you, your member, and the relationship between you both even better. That’s why this is more personalized and better than ChatGPT or Claude. Because it has the specific context of your sessions and the Mento coach training.

    Any AI tool like ChatGPT, Claude, or Gemini can give you a summary of a transcript. But only Moments can give you one specific to coaching, and personalized to the way the Mento approaches coaching.
